The location in Port Mellon, British Columbia, Canada, is seeking talent to fill the position of Executive Administrator. This job is full-time permanent.

Reporting to the Human Resources Manager, the Executive Administrator provides senior-level administrative, protocol, and process support to the Howe Sound Management Team. This complex role involves liaising with senior management, corporate head office and a variety of internal and external contacts.

This fast-paced position requires a detail-oriented professional with senior administrative experience. This position performs with a high standard of professionalism, confidentiality and effectiveness, focusing on supportive, resourceful and solutions-orientated task resolutions.


Key Responsibilities:

  • Maintain established workflow of advanced office priorities.
  • Develop/edit executive-level correspondence (confidential and otherwise).
  • Develop/edit communications such as presentations, announcements and support HR document control.
  • Support executive level onsite/offsite meetings, conferences as required.
  • Support/assist community engagements, employment service awards and other event planning as required.
  • Assist arrangements of executive level travel plans as required.
  • Maintaining integrity and confidentiality of all information.

Qualifications:

  • Advanced interpersonal skills with the ability to deal diplomatically with all stakeholders.
  • Advanced knowledge of Microsoft Office applications.
  • Thorough knowledge of business English, spelling and punctuation, and of current office practices, procedures and equipment.
  • Ability to multi-task effectively with exceptional time management skills and strong attention to detail.
  • Demonstrated ability to work as part of a team, as well as independently.
  • Excellent organizational and research skills.
  • Ability to work with limited supervision and with a high degree of accuracy, efficiency, diplomacy and confidentiality.
  • Experience and/or training in communications is an asset.
  • Two (2) year diploma or certificate from a recognized post-secondary institution, ideally with an emphasis on business administration.
