Are you an energized Board Coordinator/Administrative Assistant who has the ability to communicate professionally and enjoy teaming with colleagues while striving to understand and anticipate business needs to exceed expectations?

We are looking for a dedicated Board Coordinator to plan, organize and support all Board of Directors’ meetings and related events. Travel to various locations in Canada and USA for Board meetings is required.

What will you do:
  • Daily interaction with the Vice President & Corporate Secretary, Assistant Corporate Secretary, legal counsel, paralegals and administrative assistant

  • Coordinating with Board members and Management on attendance at meetings, air travel and ground transportation for Board meetings

  • Researching and selecting venues, negotiating and reviewing contracts and logistics with hotels and other providers for Board meetings and annual shareholders’ meeting

  • Assist with Board orientation onboarding program for new directors, including, but not limited to, preparation and dissemination of new director material and scheduling meetings for new Directors with Executive Management

  • Administration of payment of director’s expenses

  • Maintain Board of Directors’ information, contact lists and e-mail distribution lists

  • Conduct Regulatory filings in Canada and the U.S. and assist with preparation of Enbridge’s continuous disclosure materials, including the Management Information Circular

  • General administrative duties as required.

  • Maintain strong professional relationships and serve as a key contact for internal and external partners.

  • Administers and maintains confidential and sensitive information ensuring adherence to all required confidentiality controls and measures.

Who You Are
  • Post-secondary graduate in Business Administration, Paralegal, Legal Assistant Programs

  • Minimum 5 years of business administrative experience.

  • Securities experience with a public traded company and/or law firm, along with event planning experience is considered an Asset

  • Strong customer/client focus with the ability to listen, identify key issues, advise and maintain confidentiality and the ability to answer questions promptly and professionally

  • Strong attention to detail and high degree of accuracy

  • Exceptional document processing skills with the ability to quickly learn and adapt to internal management systems

  • Excellent communication skills both verbal and written, proven work ethic, attention to detail, flexibility with outstanding follow-through and follow-up

  • Ability to think one step ahead, set priorities, organize workload and thrive in a fast-paced environment

  • Strong analytical skills and ability to assess and evaluate

  • Excellent judgment, exemplary interpersonal skills; respectful of proper corporate protocols and ability to deal with confidential material in a professional manner

  • High level of initiative/self-direction, with the capability to perform well under pressure while working independently and in a team environment

  • Sophisticated digital literacy, including MS Office Suite (Excel, Word, PowerPoint, Outlook, Oracle) and demonstrated ability to stay up-to-date with advancements in office applications

Working Conditions
  • This is an office-based role with travel involved (30%)

  • Overtime may be required on evenings and weekends, availability to take calls after hours
