Your mission

As Executive Assistant, you'll be at the heart of our organization, and a true right-hand person to the President.

Working directly with the CEO, you'll be responsible for strategic issues, committee coordination and office administration. Your days will be punctuated by preparing confidential documents, planning meetings and supporting teams in a stimulating environment, while ensuring the smooth administrative running of the office.

The profile we're looking for


We need someone who is rigorous, organized and proactive, capable of managing several files in parallel with a high level of professionalism and discretion.

Fluency in spoken and written French and English is essential, as is ease with the Microsoft Office suite.

Excellent communication skills, a high degree of autonomy and attention to detail will be your best allies in excelling in this role.

Specifically, the Executive Assistant's main responsibilities are to:

Management support

  • Assist the CEO in coordinating and monitoring strategic issues
  • Prepare, revise and layout various confidential documents (reports, presentations, contracts, policies, etc.).
  • Writing and translating communications in French and English
  • Coordinate meetings, committees and conference calls, ensure logistics and follow up as required

Administrative and organizational management

  • Filing, archiving and updating official documents
  • Ensure compliance with quality and confidentiality standards for deliverables
  • Manage the CEO's schedule, screen calls and organize travel if necessary
  • Process and track invoices and approvals related to the Presidency
  • Contribute to the improvement of internal processes and propose solutions to optimize administrative efficiency

Coordination and communication

  • Ensure the smooth flow of information between management and internal teams
  • Collaborate with various departments (finance, operations) on strategic issues

Working conditions

  • Permanent position, daytime shift
  • 5 hours per week, from 8:30 a.m. to 12 p.m. and from 1 p.m. to 5 p.m.

  • College training in administrative or secretarial techniques or equivalent
  • Minimum of 5 years' relevant experience in a team environment requiring work on several files and with several people
  • Proficiency in Microsoft Office suite (outlook, teams, Word, Excel, PowerPoint)
