Position Summary
The Kelowna Community Health and Services Centre (CHSC) has an exciting opportunity for a Casual Payroll Supervisor to join their team in Kelowna B.C! This position works Monday to Friday from 08:00 to 16:30.

What you will be doing:
This position performs various Payroll related functions, in accordance with established procedures, timeframes and various collective agreements. Performs duties involved in the preparation of Payroll and other related documents such as records of employment and insurance forms utilizing a computerized on-line Payroll system as well as word processing and spreadsheet software at an intermediate level. Supervises three to ten designated staff, coordinates work assignments, determines related training and orientation requirements and participates in the evaluation of employee performance.

Typical duties and responsibilities:
• Supervises three to ten designated staff by performing duties such as scheduling and coordinating work activities, setting priorities, providing guidance and technical advice, facilitating resolutions to work problems and monitoring operations to ensure departmental standards are met and safety procedures are followed. Participates in employee performance evaluations for designated staff to promote quality of work performance.
• Provides training and/or orientation on payroll system features to designated staff by performing duties such as providing information on the system features as well as the payroll information requirements and ensuring efficiencies are established.
• Participates in the planning, development and implementation of new or revised systems and procedures by performing duties such as providing knowledge-based information and input into the process and assisting with the assessment of payroll needs for system features due to legislative and collective agreement changes. Recommends changes to payroll processes/systems to improve service effectiveness.
• Prepares adjustment entries for issues such as vacation leave liabilities in order to ensure related reports and system requirements are met by performing duties such as analyzing and reconciling accounts to the general ledger, ensuring that payroll documentation is on file and determining where to action the payroll adjustment.
• Calculates, reconciles and distributes Voluntary deductions such as Charity, lottery, and Union dues deductions.
• Responds to enquiries concerning the pay office such as interpretation of payroll system, interpretation of pay office procedures, and interpretation of timekeeping procedures. Refers issues to Manager (or designate) as required.
• Calculates, prepares and inputs “off cycle” payments - either paid by cheque or supplementary direct deposit. Updates the manual cheque register in accordance with established procedures to record the issue and distribution of manual cheques. Initiates stop payments as required.
• Maintains security and confidentiality of timekeeping and payroll records by methods such as ensuring access codes are changed regularly and kept secured, ensuring security access to the system is restricted and ensuring keys, cabinets and offices are locked and computer terminals are signed-off.
• Performs other related duties as assigned.

Qualfications
Education, Training and Experience:
Grade 12, successful completion of a recognized payroll course, and four (4) years' recent, related experience including one (1) year in a supervisory capacity or an equivalent combination of education and experience.
