You are an experienced document control coordinator, who will be overseeing the receipt, maintenance, control, and distribution of project documents. You will ensure the project team is compliant with creation, storage, and distribution of all project documents. You are a problem solver and continuously look for innovative solutions that can be utilized on projects.

Essential Responsibilities

  • Assists in developing and implementing project-specific document control standards and procedures in accordance with organizational and contractual requirements. Provides recommendations to support improved efficiency in document control procedures and practices
  • Ensures project Document Control team members are monitoring compliance with established project-specific document control procedures and CMS. Performs routine compliance checks of project documents on EDMS
  • Oversees the organization and maintenance of all project documents and records, delegating responsibilities to team members and providing guidance and mentorship to the team
  • Assists project teams with EDMS (Electronic Document Management System) configuration based on project requirements
  • Provides initial training to new subcontractors and project team members on EDMS functionality and procedures - provides ongoing training and support as required

Qualifications

  • 3-5 years in a document control role, ideally with experience in relevant industry, experience supporting the construction and engineering design teams
  • Previous experience supervising a team, and proven collaboration with project teams
  • Strong computer background including experience with PowerPoint, Word, Excel; experience with electronic document management software
  • Experience using Document Management software platforms. Experience with Aconex software is an asset.
  • Ability to manage time effectively and provide solutions to atypical problems based on proven practices or procedures
  • Strong written and verbal communication skills
  • Confident operating in a client-facing role and the ability to collaborate with a wide range of stakeholders
