THE OPPORTUNITY: COORDINATOR, HUMAN RESOURCES - EMPLOYEE WELLNESS AND HEALTH AND SAFETY

The purpose of the Coordinator, Human Resources is to support the successful execution of the Vancouver School Board Educational Plan by establishing and maintaining creative and evidence-based processes that support the Wellness programs at the VSB. The Coordinator, Human Resources is a key part of the team carrying out the department vision of being a trusted K-12 employer focused on employee well-being.

Reporting to the Manager - Employee Wellness, the Coordinator, Human Resources is responsible for coordinating information related to Employee and Family Assistance Programs (EFAP), professional development offerings for staff, employee feedback programs, leading stakeholder meetings, and attendance support programs. You will lead others that support the leaves process and integrate into a strong team environment where you will develop proficiency in the coordination of leaves and health and safety systems.

As a people person with an interest in data analysis and wellness promotion, you will be working alongside others in the Employee Services department. You will get to utilize your human resources, occupational health and safety/psychological safety, customer service, or project coordination experience to work towards continual improvement of the VSB employee experience.

You will interact regularly in person, and virtually, with others. This includes school principals, and staff as well as a variety of other stakeholders to ensure that programs, services, and improvements are ongoing within our large, complex school district.

Your sound communication skills will serve you well in supporting ourVSB employees. You will frequently use your exceptional writing skills, and tact, as well as your thoughtful decision making in your work with supervisors, union representatives and external vendors. Your dedication to professional conduct and ourVSB values will ensure employees are treated respectfully and, in a manner, suitable for success in their work.

You hold a degree or post-secondary certificate that is related to human resources, Health and Safety, or change management as well as have a minimum of five (5) years of related experience working with clients.

Responsibilities

Clearly communicate with internal stakeholders

Regular interaction with all union groups

Prepare written updates on program changes affecting employees

Resolve escalated issues and concerns

Review, consider, and recommend initiatives related to the employee experience

Ensure timely resolution of Wellness, and Health and Safety Helpdesk inquiries

Deliver wellness and health and safety presentations during orientations and staff events

Represent the organization in conferences, or other stakeholder groups related to the subject matter

Evaluate process improvements suggested by supervisors and staff

Support the Wellness and health and safety team during COR auditing

Evaluating and coordinating wellness and health programs

Maintaining accurate records related to initiatives and programs

Communication and promotion of Wellness and Health and Safety

Employee experience initiatives

Attendance support program administration

Runs absence reports for all employee groups and prepares analytical data

Works as a team member in Employee Services Division on the Wellness and Health and Safety Team

Provides employee file updates and recommendations to Human Resources Managers

Interacts on a case-by-case basis with individual site managers/administrators

Provides guidance and training to Leaves office support staff

Coordinate, coach and problem solve issues with the leaves office support staff

Backfills and supports peak periods of leave requests for the Disability and Return to Work Coordinator.

Qualifications

You hold a minimum of 3-year post-secondary certificate in a subject area related to supporting people including human resources, Health and Safety, or change management.

5 years related experience in human resource or wellbeing function.

Comfortable in communicating with others in a respectful way when having difficult conversations

Microsoft Office, including Outlook, Excel, Word, PowerPoint and TEAMS

Possess intermediate skills level of Microsoft Office suite, Human Resources Information Systems, and Case Management systems

Highly proficient with full Microsoft 365 suite of software

Advanced excel skills and analyzing large sets of data efficiently and accurately

Able to sort filter data and present the information to others in an understandable way

PeopleSoft HCM workforce administration user experience or similar Human Resource Information System user administration experience

Accounting and mathematic experience with averages, percentiles

Analytical and systems thinking

Ability to see the big picture and organizational impact

Demonstrated ability to present to others

Show high level of initiative

Build and maintain good working relationships through strong communication and interpersonal skills

Demonstrate strong analytical and problem-solving skills

Level of Responsibility:

The Coordinator, Human Resources contributes independently to the Wellness and Health and Safety team with minimal supervision. They possess a broad perspective on the employee experience and take accountability for programs being established and maintained at a level that supports the department vision.

Reviewing the work of other employees within the team including unionized office support workers.

Coaches and problem solve with employees in own workgroup.

Decision-Making Authority

This position is expected to be self-directed and take on independent initiatives in coordinating the relevant program. The Coordinator, Human Resources has decision-making authority within the planning and coordination of program initiatives. They will raise and escalate issues beyond their authority to the Manager- Employee Wellness.

Physical and Sensory Demands:

The physical demands are typical of an administrative position operating within an open office environment. They include but are not limited to, sitting, standing, walking, preparing documents for distribution, going to other sites in the district, using a phone, taking handwritten notes, using a computer for most tasks and related office equipment, filing documents, and making copies. Periodically there is lifting and public speaking requirements.

Working Environment:

The Coordinator, Human Resources works in an open office environment. They will be exposure to potentially emotionally charged experiences and/or interactions with employees who can be upset, frustrated, unstable, or unpredictable due to a variety of conditions or the context. The role involves minor physical or psychological safety risk and distress resulting from unavoidable exposure to hazards. The Coordinator, Human Resources can expect normal workplace interpersonal relationships in line with our respectful workplace administrative procedure.

COMPENSATION

The salary range for the Coordinator, Human Resources is $83,785 to $98,570 plus a comprehensive benefits package, including, Municipal Pension Plan, Vancouver Employee Savings Plan, Extended Health, Dental, Group Life, Long Term Disability, Vacation, Gratuity, and potential Compensatory time.
