Duties and Responsibilities

Reporting to the Manager, Business Operations, the Accounts Payable Clerk is responsible for processing invoices for the Hospitality Services department for food, retail, and capital purchasing. As an important member of the Hospitality Services team, the Accounts Payable Clerk is expected to have good communication, organizational, and time management skills and be capable of accurately and efficiently carrying out tasks in a high-volume environment.

The successful candidate's responsibilities include verifying and processing invoices for the department (ie. food, retail and capital purchasing) using the Virtual Ratex Accounts Payable System; ensuring that invoices match purchase orders and other documentation; working closely with vendors, purchasing managers and unit managers to ensure accurate processing of payables; and identifying, investigating, and resolving invoice discrepancies. Other responsibilities include maintaining vendor files, running summary reports; and other duties as assigned.

Requirements

  • Completion of one year community college program with at least one year of accounts payable experience, or equivalent combination of education and experience.
  • Advanced knowledge of accounts payable software, Microsoft Office and databases.
  • Be able to work independently and as part of a team.
  • Be able to exercise initiative, tact and diplomacy when dealing with vendors, staff and managers.
  • An understanding of the University financial system would be an asset.
