General Purpose
The Talent Acquisition Team is seeking to fill the role of Talent Acquisition Associate to support high-volume recruiting and onboarding activities at the University of Guelph. In this pivotal role, you will be responsible for ensuring a seamless recruitment experience, emphasizing process efficiency and continuous improvement. Reporting to the Director, Talent Acquisition and as a key member of our small but collaborative Talent Acquisition team, you will work closely with colleagues and partners within Human Resources as well as with representatives from a wide range of departments across the University's diverse campus community. Your strong administrative skills and experience using ERP/HR systems will be essential in maintaining the highest standards of service and support for our candidates and hiring managers. Duties & Responsibilities
- Responsible for the facilitation of Job Requisition review, approval, tracking and reporting that has been submitted via the Human Resources Information System (Success Factors).
- Responsible for providing top level customer service in answering and supporting department representatives with questions on job requisition approvals and recruitment processes. This involves consulting with recruitment team members on providing accurate and timely recruitment information. The Associate will be responsible for transcending this information to department representatives.
- Facilitate external advertising and invoicing processes.
- Update recruitment pages on internal and external facing websites as well as content within the recruiting module in Success Factors that provides information to employees, applicants, department representatives, HR colleagues, unions/employee groups and other stakeholders as required.
- Facilitate the process of Labor Market Impact Assessment (LMIA) Exempt applications.
- Provide back-up coverage to HR Reception and other administrative roles in the department as needed and may be called upon to fill-in or offer general support to these functions.
Requirements:
- A minimum of one-year Community College in the Human Resources field or similar discipline combined with two years of relevant administrative experience, or an equivalent combination of education and experience.
- Experience supporting recruitment and selection activities and working in a unionized environment are assets.
- Experience working within an enterprise system, ideally a human resources system running end to end recruitment processes is an asset.
- Proficiency using the suite of Microsoft Office software including:
- Intermediate proficiency level using Excel with the ability to manipulate large spreadsheets of data and ideally apply formulas, use lookup functions and work with pivot tables.
- Proficient using Adobe Acrobat to create, convert, edit, organize and sign PDF documents;
- Experience using web publishing software such as SharePoint is an asset.
- Detail oriented and meticulous with record keeping and data and diligent about process management.
- Demonstrated ability to work efficiently and juggle a high volume of varied work.
- Must be able to prioritize tasks with competing and compressed timelines, leveraging good analytical thinking and problem-solving skills.
- Effective written and oral communication skills.
- Strong client service focus.
- Outstanding interpersonal and relationship building skills and ability to employ tact and diplomacy.
