General Purpose

The University of Guelph is hiring a UKG Time and Attendance Project Workstream Lead to serve as the primary HR business representative for the implementation of the UKG Time and Attendance platform. This role will bridge the gap between HR business needs and technology, ensuring that system design and configuration align with university policies, compliance requirements, and operational goals. The Workstream Lead will collaborate closely with IT, HR, the project team, vendors, and stakeholders to drive a successful implementation.

Reporting to the Director, HR Systems, Data and Payroll, this role is ideal for a strategic and highly collaborative individual with the ability to lead a complex project and drive alignment across the university.

Duties and Responsibilities

1. Project leadership and stakeholder engagement

  • Act as the Time & Attendance subject matter expert (SME) for the implementation of UKG Pro Workforce Management (formerly UKG Dimensions).
  • Collaborate with HR, payroll, finance, IT and College/Department Administrative teams to ensure business needs are met.
  • Serve as the main liaison between the University and UKG implementation consultants.
  • Provide input to project governance updates, reports, and presentations.

2. Business process analysis and requirements

  • Lead the assessment and documentation of current state processes, identifying gaps and improvement opportunities.
  • Lead the discovery and documentation of business requirements.
  • Define future-state workflows and business rules in alignment with UKG capabilities.
  • Lead discussions to align the university on standard practices, where possible.

3. System implementation and testing

  • Provide input on system configuration, ensuring alignment with HR policies, collective agreements, and compliance requirements.
  • Lead the development of test cases and test scripts.
  • Participate in system testing (iterations, UAT, end-to-end, and parallel payroll testing).
  • Work with UKG consultants to troubleshoot and resolve system issues.
  • On behalf of HR, sign-off on test results and on system configuration.

4. Training and change management

  • Assist in developing training materials and delivering end-user training sessions.
  • Support communication efforts related to system changes and enhancements.
  • Provide post-go-live support, including troubleshooting and issue resolution.
  • Support change management by identifying impacts to staff, faculty, and administrators.

Requirements

  • Undegraduate degree and 9 years of experience in HR, payroll, or workforce management roles.
  • Experience implementing UKG Pro Workforce Management (Time and Attendance), or other workforce management or timekeeping systems.
  • Strong understanding of timekeeping processes, payroll integration, and compliance.
  • Experience leading or supporting HRIS implementations or process improvement initiatives.
  • Excellent stakeholder management, problem-solving, and communication skills.
  • Ability to interpret collective agreements, employment standards, and HR policies.
  • Familiarity with federal and provincial employment and payroll regulations.
  • Proficiency in project management principles and methodologies.
  • Excellent documentation and presentation skills (i.e., Office 365).

  • Experience in higher education or public sector environments.
  • Experience working in a unionized environment.
  • Knowledge of SAP SuccessFactors.
  • Experience in change management, training, and communications.
