SUMMARY OF THE POSITION
A person who performs work related to the management of human, financial and material resources or procurement. They assume responsibilities related to the organization of work and the planning of the execution of complex administrative work such as data collection and analysis.
They may also be responsible for the administrative functioning of their environment and oversee its internal and external relations. They are responsible for the activities of the management's office staff.
SPECIFIC FUNCTIONS* Assists in the planning, organizing and controlling of the administrative work of her or his department;
o Participates in meetings of various intra and inter departmental groups by:
? Helping scheduling the meetings with the Team Members;
? Taking minutes of the meeting when required;
o Supports the daily operation of the department;
o Keeps inventory of the Capital Project supplies;
o Be able to Prepare RGS when required;
o Supports the Team of Project Managers in their daily operations for clerical tasks;
o Processes Travel Authorization and Travel Expenses for validation and approval by the Coordinator;
o Prepares administrative reports and other reports;
o Provides good "customer service" to all, in order to foster organizational functioning and indirectly, quality services to the population;
o Participates in the development and implementation of management information systems for her/his area of responsibility; * Participates in the organization and maintenance of documentation and information for her/his area of responsibility while applying established rules regarding confidentiality; * Collaborates and communicates with all other staff, for the benefit of the projects and users;* Ensures the carrying out of her or his duties according to the organization's procedures and guidelines, and other regulations in effect, in order to provide quality services; * Carries out other tasks usually assigned to an Administration Technician upon the request of her/his supervisor.
REQUIREMENTS
Education* Must have a diploma of college studies with specialization in Administrative Techniques or in an appropriate discipline from a school recognized by the Ministère de l'Éducation du Loisir et du Sport;* This job also includes persons who, after having acquired relevant experience, obtained a certificate of college studies in Administrative Techniques.
Experience* Two (2) years of relevant experience;
Knowledge and Abilities* Good knowledge of administrative theory, systems, techniques and practices;* Knowledge of the MSSS network and administrative regulations is an asset;* Good knowledge of and ability to use the Office Suite and online platforms;* Proactive;* Customer service oriented;* Excellent communication skills (written and oral);* Practical, detail-oriented and analytical;* Sense of responsibility, resourcefulness and vigilance;* Creative;* Ability to work in a team;* Courtesy;* Autonomy and flexibility.
LANGUAGE* Fluent in English and French;
* Fluency in Cree is an asset.
OTHER* Available to travel inside and outside of the Eeyou Istchee territory as required;* Possibility of telework.
This position offers the possibility of telework, depending on operational needs and after agreement with the employer. Please note that this is not a permanent condition of the position and the employer reserves the right to request regular physical presence in the office.
