We are looking for a highly efficient, self-starting, and engaged team member committed to upholding AHS values and mission within the Department of Surgery. The ideal candidate for the Administrative Support IV role will be a proactive self-starter, eager to be part of a dynamic team, and open to feedback. In this role, you will provide administrative support to two orthopedic surgeons. As an Administrative Support IV, you will play a key role in ensuring the smooth and effective operation of the surgeons’ offices. Working with minimal supervision under the guidance of the Administrative Services Manager and/or medical staff, you will engage with AHS employees, university staff, patients, families, and referring providers. As the first point of contact for patients and providers, you will communicate with compassion and professionalism on behalf of the surgeons and the department, ensuring patient- and family-centered care. Key responsibilities include assessing, prioritizing, and managing complex surgeon schedules, which may involve operating room time, outpatient clinics, call schedules, educational rounds, research meetings, conferences, and time away. You will also handle scheduling and confirming patient appointments and referrals, ensuring seamless coordination of care. This position requires strong critical thinking, time management, flexibility, and attention to detail.

As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

Post-secondary education, ideally in Medical Office Assistant or Unit Clerk training. Alternatively, at least 2 years of post-secondary education related to the healthcare field. Minimum of 5 years of administrative experience in a medical setting, preferably in a department similar in size and scope to the Department of Surgery. At least 5 years of experience in patient booking, referral management, waitlist coordination, and scheduling. Strong working knowledge of Connect Care. Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written communication skills, with strong attention to spelling, grammar, and proofreading. Ability to work independently with minimal supervision. Experience supporting multiple offices or physicians simultaneously. Ability to manage frequent interruptions, prioritize tasks, and problem-solve effectively. Professional demeanor, especially in handling stressful situations with empathy and tact. Strong teamwork, collaboration, and conflict resolution skills. Commitment to patient satisfaction and delivering high-quality healthcare services. This is an onsite position at Foothills Hospital and is not eligible for remote or offsite work.
