Reporting to the Program Manager Rehabilitation & Allied Health, the Administrative V position is an advanced position providing support to the Spiritual Care, Social Work and Ambulatory portfolios. This position provides direct patient care by assisting or redirecting patients to appropriate clinical resources, consistently demonstrating kindness and empathy in all of their interactions. Working with minimal guidance/directions the incumbent works with a strong understanding of the complex needs and priorities of the portfolios. The role includes operational, information management, and human resource support, ordering, tracking and maintaining clinical and patient supplies, account reconciliation, drafting reports, staff scheduling and payroll and performs other duties, as required. The incumbent must be able to use their judgement in interpreting requests and determining requirements to meet project/task timelines. They use discretion to address escalated issues or problems where there may not be established processes or guidelines. It is expected that the incumbent interacts in a professional manner with all levels within the organization. They are the first line support to the managers/team leads and staff within the program for scheduling and payroll issues.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of post-secondary education (e.g. certificate in office or business administration).

Recent experience in providing advanced administrative support within a clinical setting is required. Completion of post-secondary certification degree, certification in business, human resources or healthcare is a requirement. Advanced knowledge and skills in use of MS Office, including Outlook, Word, Excel, Visio and MS Teams. Demonstrates high degree of accuracy, organizational skills and timeliness in meeting deadlines. Excellent command of the English language in both written and verbal skills is required. Superior active listening and interpretative skills required. Demonstrated professional telephone skills are required. Demonstrated experience resolving complex client issues with professionalism, discretion and compassion Proficiency in payroll processes and timekeeping is a necessity. Experience with Oracle is required.

High degree of customer service, problem solving, interpersonal skills and critical thinking, required. Proven ability to learn new software and develop processes to support changes in workflow. Experience with RMS processes is an asset. Expertise in building and maintaining shift work schedules (24/7) in both traditional scheduling programs (e.g. ESP, Infor Workforce Management) and Microsoft base programs (Teams/Excel), is a definite asset.
