The Human Resources Coordinator provides support to the Superintendent’s Office Leadership Team as they set out to fulfill this mission. The successful candidate assists in the effective operation of the CISVA and in the implementation of the policies, procedures and regulations established by CISVA and the Ministry of Education and Child Care for Independent Schools in the province of British Columbia.

I. Primary Relationships

The Human Resources Coordinator plays a critical role in the CISVA by working under the guidance of the Senior Human Resources Manager to ensure efficient and effective office operations. They will support and enhance the work of the organization by partnering with the Human Resources Team, Leadership Team, Educational Staff, and Administrative Support Team to achieve our six strategic priorities. Through their efforts, the Human Resources Coordinator contributes significantly to the overall success of the CISVA.

II. Key Responsibility Areas

Acts as the main point of contact for teacher applicants, provides guidance through the application process and is responsible for the employee lifecycle

Coordinates the recruitment process, including job postings on external job boards such as Make a Future, Apply to Education and Indeed

Ensures that teacher candidates have a completed application package prior to scheduling an interview (via zoom or in-person) with the Associate Superintendent, Human Resources

Welcomes teacher candidates into the building for interviews and creates a hospitable atmosphere for them

Provides confidential administrative support to the Human Resources Management Team for core HR functions

Offers direct assistance to the Associate Superintendent, Human Resources, and the Senior Human Resources Manager

Fosters and maintains good working relationships with key stakeholders of the CISVA

Assists with other projects or tasks in the Superintendent’s Office as required

III. Reporting and Supervisory Relationships

Reports directly to the Senior Human Resources Manager

Works closely with the Associate Superintendent, Human Resources, as part of the Human Resources Team

IV. Primary Responsibilities

Assists in ensuring compliance with HR policies, procedures, employment regulations, the Independent School Act, the Teacher Certification Branch, and the Employment Standards Act

Provides full administrative support to the Associate Superintendent, Human Resources

Responsible for collating new teacher salary assessments, evaluation documents and verification of employment

Maintains the internal employment vacancy system ensuring that is current and up to date by following up with schools and applicants

Coordinates the letter of permission process between the school Principals, teacher applicants, and the British Columbia Teacher Certification Branch

Drafts teacher salary adjustment letters on behalf of the Associate Superintendent, Human Resources

Represents CISVA alongside other members of the HR Team at Educational Career Fairs - in-person and virtual career fairs

Key contributor to the Human Resources Information System

Provides Human Resource administrative services to the wider school community with professionalism and confidentiality

The Applicant

Preference will be given to applicants who possess the following:

post-secondary degree or certificate in Human Resource Management and/or equivalent combination of education, training and experience

minimum of 3 years of recent and relevant experience

extensive experience with Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint

proven knowledge and experience with Human Resource Information platforms

exceptional organizational, interpersonal and communication skills with proven ability to build effective working relationships

ability to set priorities, adapt processes and procedures, manage multiple projects, analyze data and prepare reports

is a self-starter, works independently with limited supervision, including working as a member of a team
