About The Opportunity
This is an exciting opportunity to join a high-performing Corporate practice group as a Legal Practice Assistant. The successful candidate will support senior lawyers with a focus on transactional matters, including private equity. This role plays a key part in keeping lawyers and clients organized and informed, contributing to seamless legal operations and client service delivery.

You will be part of a collaborative team, supporting two legal professionals in a fast-paced, client-focused environment. From managing schedules and meetings to supporting billing, file administration, and marketing initiatives, you’ll be a vital link in the delivery of high-quality legal service.

About The Position
As a Legal Practice Assistant, you will provide essential administrative and practice management support to a team of corporate lawyers. You’ll assist in all aspects of client and file management, including transactional work, calendar coordination, travel, billing, and business development.

The Responsibilities

  • Provide comprehensive administrative support to corporate lawyers, including managing calendars, travel, and client meetings.
  • Coordinate billing with the finance team, prepare prebills and invoices, and ensure timely docketing and accurate financial records.
  • Maintain and organize client files, engagement letters, and conflict checks in coordination with Records and Conflicts teams.
  • Assist with marketing efforts by preparing bios, pitch materials, and event coordination. Monitor deadlines, track project updates, and support business development initiatives.
  • Draft and edit correspondence, manage incoming communication, and liaise with clients and internal departments.
  • Prepare expense reports, update CPD records, and support onboarding or cross-training needs.
  • Collaborate with assistants and other teams to ensure seamless lawyer support and consistent service delivery.

The Requirements

  • Legal Assistant Diploma or Office Administration post-secondary education required.
  • Minimum 5 years of experience in a legal or professional services environment.
  • Experience supporting corporate or transactional practices is highly preferred.
  • Strong proficiency in MS Office Suite; familiarity with legal billing software is an asset.
  • Excellent organizational skills and the ability to manage multiple deadlines effectively.
  • Strong written and verbal communication abilities.
  • A proactive, detail-oriented approach with the ability to work both independently and collaboratively.
  • Ability to thrive in a high-pressure environment and adapt to changing priorities.
  • Willingness to occasionally work overtime when needed.
