Description
Overview:
The Operations Coordinator will be responsible for the coordination and monitoring of activities that promote clinically effective and efficient patient care in the OR. The Operations Coordinator will also monitor staffing activities to meet patients’ needs in collaboration with the Operating Room multidisciplinary team and cross-departmental teams.
The coordinator will support the mission, vision, values and objectives of the Organization. The coordinator oversees the multidisciplinary team in the Operating Room. Reporting to the Patient Care Manager, the Operations Coordinator uses a Quality Management framework to identify and problem solve issues related to elective and urgent patient flow, clinical practice, resource conflicts, the unit environment, staff assignments and inter and interdisciplinary relationships on a day-to-day basis.
General Responsibilities:
- Coordinating Patient Flow
- Managing day-to-day processes in the Operating Room that enable the delivery of high quality services to meet patient needs and expectation.
- Organize and coordinate the activities of the Operating Room and related clinical areas, including nursing and support staff activities to meet patient needs and in collaboration with members of the Coordinating Team
- Daily rounds in the OR to identify any challenges/ conflicts to support staff and avoid delays that may impact patient care. Liaise with appropriate decision makers/ PCM to help with any resolution.
- Ongoing management of the PICIS OR Manager system and staff computer support.
Human Resource Management
• Oversee appropriate daily staffing complements/assignments to ensure adequate staff numbers and skills to meet patient care needs. Address issues with a PCM as required.
• Apply Collective Agreements terms to daily operation of the units.
• Consult with PCM and Surgical Coordinating Team when human resource factors are affecting the running of the OR’s (i.e. insufficient staff resources to provide safe patient care).
• Collaborate with PAAs to ensure the timely release of unit schedules in accordance with agreed –upon CA agreement.
• Monitor staff absenteeism and relay any ongoing concerns to the PCM for formal follow-up.
• Supervise and provide guidance to the group: RNs, RPNs, PAAs, and PSPs.
• Act as Consultant or source of information to staff in areas of general knowledge: special knowledge – refer to NCC or specific service: RNs, RPNs, PAAs, PSPs, Allied Health, Physicians (staff and residents) other departments.
• Provide assistance in implementing Unit/Corporate objectives, facilitating change and quality improvement initiatives.
Supplies. Materials and Other Resources
• Identify and promote cost effective and efficient use of resources required for daily operations and report to the PCM accordingly.
• Provide support for the proper and safe use of clinical equipment and address issues with PCM, APN, etc.
Continuous Quality Improvement/Risk Management
• Provide support in the identification and implementation of quality and process improvement opportunities in collaboration with the multidisciplinary perioperative team.
• Consult with PCM and relevant stakeholders regarding clinical issues relating to safety and policy
• Help investigate critical incidents and “near-misses” and respond appropriately in consultation with the PCM.
• Lead the monthly safety reviews and reporting to Occupational health
Staff Leadership and Development Leadership
• Strong verbal and written communication skills. Serve as a role model and resource by demonstrating clinical expertise, strong interpersonal skills, and leadership qualities.

Education
• Work with the PCM and the APN to facilitate the support and development of staff to achieve advanced clinical practice standards
• Provide input to performance reviews of all staff to the PCM.
• Provide feedback, coaching, counseling and guidance to staff in accordance with their specific roles, in coordination/consultation with the PCM and/or APN.
• Promote best practice, and ensure the provision of patient care complies with organizational policies, professional standards of practice and other relevant legislation.
• Ensure the staff complies with mandatory occupational safety regulations.
• Support PCM, APN to identify and deliver educational programs to address the learning needs of the staff and provide corporate education.
• Support APN and PCM in planning, delivering and revising perioperative staff orientation.
• Assist in facilitating learning opportunities for health care students in conjunction with internal and external educational agencies.
Standards of Practice
• Understands the standards of practice for all professional disciplines and their implications for patient care.
• Monitors and ensures that daily perioperative staff practices at the highest level defined by their governing professional association.
• Promote an environment that provides excellence in patient care and evidence based practices and address opportunities for improvement with PCM and APN.
Professional Development
• Pursue lifelong learning, in accordance with requirements of the role and strategic continuing education activities, QI initiatives and professional organizations.
Qualifications:
- Required current Ontario College of Nurses Certificate of competence and BCLS certificate.
- A minimum of 5 years relevant experience within OR
- Possess highly developed clinical knowledge and skills
- Comprehensive knowledge of the standards of practice, professional guidelines, and organizational policies
- Established understanding and ability to integrate concept of person-centered care
- Demonstrates leadership abilities
- Demonstrated excellence in communication: interpersonal, oral, and written skills
- Ability to prioritize professional duties, manage multiple competing priorities, and efficiently organize mentee portfolio
- Excellent self-management skills, e.g. punctuality, attendance, organized, self-composure, positive attitude etc.
- Proven organizational & time management skills
- Demonstrates effective collaboration and teamwork
- Proven ability to adapt and work as an effective team member
- Organizational skills and flexibility to meet with mentees within their schedules.
