Under the responsibility of the Unit Manager, the position holder ensures that all customers (outside and inside) are answered properly.

Main duties and responsabilities :

  • Greet all visitors: register, give identification, and direct them. Ensure they are made aware of health and safety protocol and supply them with safety glasses if they have to go into the plant;
  • Answer the phone in a courteous manner and forward incoming calls and/or take messages;
  • Receive, sort and distribute incoming mail and packages;
  • Prepare regular mail (Canada Post), postal and express deliveries such as FEDEX, UPS, Expeditor, etc.;
  • Track and file employee training records;
  • Participate in JHSC meetings as scribe and post minutes in employee lunchroom;
  • Facilitate on-boarding and initial online training of new employees. Review of benefit package after 3 month probation is completed;
  • Track usage and order office supplies for all departments;
  • File all paperwork, files boxed by year;
  • In case of an evacuation, leave the premises with the register, the emergency contact list, and the USB containing the MSDS in electronic format;
  • Maintain cleanliness of all open areas, including conference room and lunchroom, empty food waste and mixed containers to proper bins for recycle;
  • Act as HR liaison for Delta location and is involved in any questions requiring HR assistance;
  • Act as a liaison for the POQ-18 process and follow-up and all training files;
  • Manage the voice-mail functions;
  • Responsible for HP toner recycle program for empty cartridges;
  • Assist and manage vacation calendar for hourly crew to ensure no more than 2 off at one time, and that vacation days used before end of May 31 each year, as well as scanning and saving request for vacation sheets in administration folder;
  • Document Control - Manage distribution binders: 2 in production, 1 shipping ensuring that the most current instruction is in binder and old versions are removed, also printing out updated instructions on Control Copy paper for placement in correct Distribution binders;
  • Assign swipe cards for entry into Delta facility and keep record of assigned cards;
  • Scan and record junk pallet, plastic bale pick up for EHS sustainability reporting;
  • Sustainability reporting: training hours, waste pounds (food, recycle, paper), water consumption;
  • Register employees on OSG training platform for training;
  • Any other tasks assigned by Unit Manager.

  • Education: High School Diploma (HSD)
  • Secretarial Course, an asset
  • Years of experience: 3 years of experience
  • Language spoken and written : English
  • Office Automation software : Microsoft 365
